A booking sheet the members keep themselves

The club’s courts, a day at a time, with every slot free, booked or closed. A member books a court in two taps and cancels before the club’s deadline; the committee sets the rules once and closes a court when it must. It is part of the Club plan, at €39.00 a month.

A day at a time, the club’s own rules, and a court closed with the reason on it.

The sheet: courts across, the day down

A member opens the sheet on today and moves a day at a time. Every court is a column, every slot a cell, and a cell is free, taken by somebody, closed by the club with the reason on it, or already past. A free slot within the club’s rules is booked with one tap and a short note, and the member’s own bookings are listed under the sheet with the time left to cancel each one.

The sheet says why a slot cannot be booked rather than greying it out: the sheet is not open, that is in the past, that is further ahead than the club allows, you already have as many open as the club allows.

A booking lands in the member’s own calendar feed, and a member is told when the club cancels one, closes the court under it, or books one for them.

A club’s booking sheet for one evening: six courts across, the hours down, free and booked slots, the member’s own booking, and a lesson block with its reason.
This evening’s sheet as a member sees it: six courts across, the club’s evening in hours down, the member’s own booking marked, a lesson block on two courts, and a note on every booking.

The committee sets the rules once

Five settings decide how the sheet behaves, and each one is a number the committee already knows.

The defaults are a club’s usual ones: an hour a slot, open from eight in the morning until eleven at night, a fortnight ahead, two open bookings per member, and an hour’s notice to cancel. A club that plays in halves of an hour, or opens its sheet two months ahead for a summer of members on holiday, changes the number and nothing else.

  • The slot: 30, 45, 60, 90 or 120 minutes, and every booking is one slot.
  • The hours the sheet is open, from and until, on the club’s own clock.
  • How far ahead a member may book: one day to sixty.
  • How many bookings a member may hold open at once: one to twenty.
  • How long before a slot a member may still cancel it, up to a day.

Closing a court, and booking for somebody

The committee closes courts for a reason: maintenance, a tournament, lessons, a team match, an event, or simply closed. A block covers a court or several, a day or a range of days, all day or between two hours, and it carries the reason members read on the sheet. A member who had booked inside it is told, and the booking comes off.

The desk can book for a member who is standing at it, and the sheet marks that booking as made by the desk. The member’s own limits still apply, because the sheet is the members’ and the desk is not a way round it.

A season of lessons takes its courts off the sheet in one act, from the lesson programme rather than block by block, and gives them back the same way; the page on lessons says how.

Part of the Club plan, and what the sheet does not do

The sheet is part of SetMatcher Club, at €39.00 a month or €390.00 a year, and a club may try it once for 14 days without a card. Every other page of the club is free at any size; the sheet is one of the things the plan is for.

It does not take money for a booking, it does not book for guests who are not on the register, and it does not repeat a booking every week. A club that needs any of those will need another tool beside it.
